How to Read Your Dental Insurance Aging Report (and Collect Faster)

Daniel Park|2026-10-26

Let's talk about insurance aging.

Your total insurance accounts receivable (AR) tells you how much you are owed. Your aging tells you how effectively you are collecting it.

What insurance aging actually shows

Insurance aging is typically divided into four sections:

  • 0 to 30 days
  • 31 to 60 days
  • 61 to 90 days
  • 90+ days

A healthy practice has most of its insurance money in the earliest buckets. When more of the balance drifts into 61 to 90 and 90+, claims are getting harder to collect.

Two prerequisites before you work the report

1. Always collect patient money the same day

Insurance aging is about insurance. If patient portions are not collected at the visit, they pile up and make it harder to see what is really going on with your claims.

2. Know your data

Know where your numbers come from and make sure they are accurate. That might be your practice management software, or a reporting tool like Dental Intelligence.

If the data is wrong, every decision built on it will be wrong too.

Where is your insurance money getting stuck?

Once you trust the data, the key question is: where is our insurance money getting stuck?

Is it stuck in the first bucket, the second, or the third?

  • Stuck early (0 to 30 or 31 to 60): claims may be going out late, going out with errors, or not being checked on after submission.
  • Stuck in the middle (61 to 90): follow-up may be happening too late, or claims may be waiting on documentation or a response.
  • Stuck at 90+: these are the hardest to collect. Look at whether they are denials, missing attachments, or claims nobody has touched.

Where the money sits tells you where to focus.

Lower AR does not always mean you collected

Here is a common mistake: AR goes down, and the team assumes the practice collected that amount.

That is not always true. Some of that reduction may be write-offs, not payments.

Always compare the drop in AR with the payments actually received. If you only watch the AR total, you can feel like you are improving while money is quietly being written off.

A three-step system to collect faster

First, assign one person to own insurance AR

One name. Not "the front desk" or "the team." When one person is accountable, claims are less likely to fall through the cracks.

Second, block out time every week for claim follow-up

Put it on the calendar. Follow-up that happens only when things are quiet tends not to happen at all. A recurring weekly block makes it routine.

Third, track how much money is in each aging category

Write down the dollar amount in each bucket on a regular schedule. The trend matters more than any single week. Is the 90+ bucket shrinking? Is the 31 to 60 bucket growing?

Keep the numbers in front of your team

These steps work when someone looks at the numbers consistently. A dashboard makes that easier than rebuilding a report by hand each time.

Operaitor's KPI analytics brings production, collections, and other practice metrics into one view, so you can watch collections trends and spot revenue-cycle bottlenecks. Pair it with your aging report to see whether the money you are chasing is actually coming in.
