Mark Holidays and Closures
Block off specific dates such as holidays, vacations, or emergency closures so the AI receptionist does not schedule appointments on days your office is unavailable.
Why this matters
If a holiday or closure is not marked here, the AI may continue offering appointments—even if your office is actually closed. Closing Dates override your regular Office Hours for the selected dates.
2. Open Closing Dates
At the top of the page, click the Closing Dates tab next to Daily Schedule.
3. Add a Closure
You have two options:
Option A: Add Custom Dates
Use this for vacations, one-off closures, or emergencies.
- Select Add Custom Date
- Choose the date (or date range)
- Click Add
Option B: Add U.S. Holidays
Use this to quickly block standard federal holidays.
- Select Add U.S. Holidays
- Choose the holidays you want to observe
- These dates will automatically be added as closures
4. Save Changes
Click Save Changes in the top-right corner.
Your closures will immediately apply to:
- AI receptionist scheduling
- Patient availability logic
- Booking workflows
Frequently Asked Questions
Do Closing Dates override my normal office hours?
Yes. If a date is marked as closed, the AI will not offer appointments—even if that day is normally open.
Can I add a multi-day vacation?
Yes. Use the AI-powered date management field and enter a natural-language prompt such as: “We’re closed for vacation from March 18 to March 22.” The system will automatically block those dates for you.
What happens if a patient already has an appointment on a newly closed date?
Existing appointments are not canceled automatically. You’ll need to contact those patients directly.
Should I also update my PMS for holidays?
Yes. For best accuracy, closures should be reflected both in Operaitor and your patient management software.
