Set Up Office Hours

Configure your standard weekly office hours so the AI receptionist knows when to schedule appointments and when to inform patients you are closed.

Why this matters

The AI receptionist relies on both your Office Hours and your patient management software (PMS) when scheduling. If these hours conflict, the AI may offer incorrect appointment times or give inaccurate information to patients.


2. Open Office Hours

Select Office Hours from the settings menu. You’ll see a weekly calendar showing your current availability.

3. Edit Daily Hours

Click on any day of the week to adjust its schedule. You can:

  • Set opening and closing times
  • Add a lunch break by toggling.
  • Mark the office as closed by clicking on checkbox.

4. Save Changes

Click Save Changes in the top-right corner.
Your updated hours will immediately apply to:

  • The AI receptionist
  • Patient scheduling logic

Frequently Asked Questions

What happens if I change my hours in the middle of the week?

Changes apply immediately. However, any existing appointments scheduled outside of your new hours will not be automatically cancelled. You will need to contact those patients manually.

How does the AI handle lunch breaks?

Lunch breaks are treated as unavailable time. The AI will not schedule appointments during those periods and will offer times before or after the break.
